District Website  -

 

            1)  "Drydock" District39.org database - It was decided to no longer update two databases - Toastmasters International database site and District 39.org database.  The Division Leaders were advised to only update Toastmaster International Site.  Member and Club log on to www.district39.org has been disabled.

 

            2)  New District and Division Pages have been created using links to Toastmaster International instead of from District39.org

 

            3)  Quick links are being added to the home page making it easy for members to find what they are looking for - including Toastmaster International Podcast.

 

            4)  Menu items under "District Training" and "Members & Club Building" sub menus are being reorganized by Emma Santa to be more meaningful.

 

            5)  Joe Velky is reviewing the new Toastmaster rebranding to what needs to be changed on www.district39.info website.

 

            6)  Emma Santa and Ying Sang Man has joined the Website Team.  Emma will focus on assisting Division Governors - setting up templates and sub-pages for each Division.  Ying Sang will assist Joe Velky in page development and branding roll-out.

 

Social Media -

 

            1)  Russ has kick started the blogging with District Governor Message and Q&A.

 

            2)  Sena Loyd and Victor Jenkins are assisting Division Governors to modify and use the Division Facebooks.  Sena has started work updating the look of District Facebook.

 

            3)  The Social Media committee are planning to provide a hour by hour post of each Toastmaster International Conference event on the District Facebook and Twitter.

 

District Telephone Directory -

 

            1)  The telephone directory is being redesigned.  The goals are reduce the size of the directory, provide easy access to phone numbers,  and create a automated process to upload district and club officers data from Toastmaster International to the phone directory.

 

 

 

Promote Fall Conference -

 

            1)  Are you part of the 300? - The 300 campaign was extremely successful at the Spring Conference, it will be used again for the Fall Conference.  The 300 campaign is being rolled out at the August DECM.

 

            2)  New conference advertisement and links have been added to the District39.info website.  More links and conference information will be added this month.

 

            3)  Fall Conference flyers have been printed - packet's will be handed out to each Area Governors at the August DECM.  They are encouraged to hand them out to each of their clubs.

 

            4)  Division Governors will be asked to promote the Fall Conference at their respective Area Contests.  A sample speech will be used by the Division Governors.

 

            5)  Joe Spencer and George Jarosik will start work on the Division Contest promotions.

 

Meeting RPO Goals - activities this month:

 

            1)  Social Media - created projects to increase network activity on District Facebook, Twitter and Blogging.

 

            2)  Improve District/Club communication - Dianne Bish organized District 15 minute update meetings prior to TLI class.  Russ Steele posted changes being rolled out in a Question and Answer format on the website and blogging.  A complaint box has been added to the website home page -- members have a direct link to Russ Steele.

 

            3)  Improve Top Three communication - encouraging top three to be cc'd on all District business.

 

            4)  Branding information will be rolled out to all club presidents and public relations officers.

 

            5)  Encouraging members to seek leadership opportunities in the Division and District - using the contest, open house and conference as the vehicle.

2012 Goals  -  District Public Relation Officer

Develop publicity for the district by means of the press, television, radio, Internet social media and other methods.

    1:  Expand on the excellent work Skip Smith already accomplished last year. 

    2:  Research any media that is not being utilized to promote the District 39 and Toastmaster endeavors.

-  Promote the benefit of Toastmasters membership resulting in more new members and clubs.

    1:  Social Media – Increase network activity and visibility with the use of Facebook, Twitter, and Blogging.

    2:  Open House – Encourage frequency and help broadcast each event in the local area via Social Media, newspaper.

    3:  Promote toastmaster at all available community events.

-  Work in cooperation with the district electronic newsletter, Webmaster, Public Judging Chair and Speakers Bureau chairs in an effort to achieve public relations goals.

-  Submit a publicity plan to the district governor and District Executive Committee for approval. Review and recommend to the district governor all advertising and publicity material dealing with district programs and activities.

    1:  In progress.  Will have it submitted to the District Governor by July 31, 2011.

-    Prepare a comprehensive communications program to keep members and nonmembers aware of the Toastmasters program.

    1:  Create a one-stop portal website for all District 39 members to quickly access the information they need or require.

    2:  Advertise bi-weekly on the district website activity at each of the clubs, area, division and district.

    3:  Encourage all members to use website, Facebook, Twitter and Blogging to better communicate from levels bottom up.

    4:  Promote website in all communication with the public and press.

-  Promote leadership and training opportunities within the district.

    1:  Encourage members to take lead on special projects such as Area, Division and District Speech Contest, District Conference, President’s Recognition…

    2:  Encourage Division Governor’s to open up opportunities to assist them in their position.

    3:  Create new opportunities where future leaders can fill in.

-  Encourage attendance at district conferences and other events.

    1:  Take census if conferences are meeting the member’s needs.

    2:  Roll out campaigns for each event.  Generate excitement, attendance, and involvement.

    3:  Attract and encourage newbie members to all events.

-  In consultation with the district governor, serve as media representative for the district.

-    Serve as a public relations resource to clubs in the district.

    1:  Create email blasts to all public relation officers in each club.

    2:  Assist clubs with the new branding roll-out.

    3:  Train and advice public relation officers how to reach out to the public, recruit new members, and create new clubs.

-  Finally - IMPROVE COMMUNICATION –

    1:  Improve communication of members to their club officers, area governors, division governors, district officers, and Toastmaster International.

    2:  Improve communication of all district officers.

    3:  Improve visibility of District 39 within the community.
